Organizing promotions with folders

As a Marketing Manager, you can group promotions in folders within the Promotions tool to make browsing for and managing your promotions easier.

Feature Pack 6 or laterThe location of your promotion folders and the behavior of deleting promotions from folders is changed:
  • Your promotion folders now display when you expand Promotions.
  • When you delete a promotion from a folder, you are deleting only a reference to that promotion. You can no longer select to delete the actual promotion from your system.
If you prefer the location of promotion folders and the behavior of folder-related operations that is in Feature Pack 5, you must have a developer revert to that type of folder support through customization.
Feature Pack 8An administrator can enable the Promotions tool to prevent promotions that are in a folder from displaying in the main Promotions - List view of promotions for your store. When this configuration is enabled, the display behavior of promotions is changed:
  • When a promotion is in a folder, the promotion no longer displays in the list of promotions for your store. Only promotions that are not sorted into folders and are not archived display in this list.
  • When a promotion is removed from all folders that include the promotion, the promotion begins to display in the list of promotions for your store again.
  • When all folders that include a promotion are deleted, the promotion begins to display in the list of promotions for your store again.
  • WebSphere Commerce EnterpriseIf your site uses extended sites stores and this configuration is enabled, the display of promotions in the main Promotions - List view has the following behavior:
    • If you are in an extended site store and add an inherited promotion to a folder, the promotion is removed from the list of promotions for only your store. The promotion continues to display in the list view for the asset store and all other extended sites stores that inherit the promotion.
    • If you are in your asset store and add a promotion to a folder, the promotion is removed from the list of promotions for all stores that inherit the promotion and the promotion folder.
    • If you are in your asset store and remove the promotion from all folders that include the promotion, the promotion might not display in the main Promotions - List view for an extended site store. For example, if the inherited promotion is in a folder that belongs to the extended site store, the promotion does not display in the main Promotions - List view for the store.
To find promotions that do not display in this list view, you can browse your promotion folders or search for the promotions. By having an administrator enable this configuration, you can control which promotions display in the list of promotions for your store. By default, the main Promotions - List view for the Promotions tool can display 500 promotions per page for a maximum of 1000 promotions. If your store has more than 1000 promotions, this list view does not display any promotions. If your store has hundreds of promotions, finding a specific promotion in the main list of promotions for your store can be time-consuming and difficult. By removing promotions that are sorted in folders from displaying in the Promotions - List view, this list displays only unsorted promotions. Reducing the number of promotions that displays in this list makes finding a promotion by browsing this list easier.
Note: You can combine the use of this configuration with the archiving of promotions to further organize promotions and control what promotions displays in this list view. By archiving promotions that are inactive for a time, you can further reduce the number of promotions that display when you are browsing the Promotions tool to find a promotion. To enable this configuration, an administrator must configure the ListOnlyPromotionsNotInFolders property in the promotions component configuration file. For more information about this property and how to enable the property, see Promotion component configuration file (wc-admin-component.xml).
