Adding an instant meeting

The instant room option instantly adds room details to the Outlook meeting.

About this task

The instant room is based on a setting, it will either your meeting room or a newly generated room. You can configure this setting from the HCL Sametime add-in.

Procedure

  1. Click the Sametime add-in logo.
  2. Select Instant Meeting.
    The instant meeting is added to the Outlook event.

    Generated rooms get their name from the Outlook meeting subject, and it contains a random twelve-character alphanumeric password, not be moderated, and not be open to guests.

  3. Click the meeting name to add it to the calendar event.
    The meeting is added with password required. The meeting link and password are placed in the Outlook event description field.
  4. To change meeting settings, click the edit icon (edit icon.
    You can change the settings related to the meeting. When you are finished with changes, click Save.

    If you change the password, be sure to change it in the event description field also. After the meeting changes are saved, the password is not retrieveable.

  5. Click Save in the Outlook event to save the meeting information in the event.
