You can add and organize contacts, and change how they display.
How can I control how others see me in their contact list and who can contact me?
You can create privacy lists to control who sees your status on their contact list when you are online or when your status is "Do Not Disturb." These lists apply to all your server communities. If you have access to external communities, you can set who can chat with you from those communities. See the following topics to learn more about setting your privacy preferences.
Choose who can see when you are online
Individuals on this privacy list can see your status, or are excluded from seeing your status, when you are online. If you set this privacy list so that someone cannot see you when you are online, you do not see them when they are online either.

Work with contacts
You can add and organize contacts, and change how they display.
- How do I display contacts with their full names or short names?
  On your contact list, you can display contacts’ full names (names with their server addresses) or short names (names without their server addresses). By default, full names are displayed.
- What ways can I display my Primary Contacts and other views?
  Use Primary Contacts to build a personalized list of contacts. Click to open the Primary Contacts list view, which can be customized with several different lists and view types.
- How do I display contacts with their full names or short names?
  On your contact list, you can display contacts’ full names (names with their server addresses) or short names (names without their server addresses). By default, full names are displayed.
- How do I import a Sametime® contact list?
  You can import an HCL Sametime® contact list as a way to quickly add a large number of contacts to your existing contact list. Or, you can import a pre-populated contact list, if you don't already have one, or replace your existing contact list with the names you import.
- How do I export my contact list?
  You can export the HCL Sametime® contacts from one or all of your server communities to a file. You might export contacts if you want to save a local copy of your contact list as backup. Or, other users can import the file so that they do not need to create their own list of contacts.
- How can I control how others see me in their contact list and who can contact me?
  You can create privacy lists to control who sees your status on their contact list when you are online or when your status is "Do Not Disturb." These lists apply to all your server communities.   - Choose who can see when you are online
    Individuals on this privacy list can see your status, or are excluded from seeing your status, when you are online. If you set this privacy list so that someone cannot see you when you are online, you do not see them when they are online either.
  - Choose who can chat with you when your status is set to Do Not Disturb
    You can create a list of specific people who can see your status as Available, even when your status is Do Not Disturb.
  - Allow members of external communities to contact you
    If you have access to external server communities, members of those communities might need to grant you permission before you can add them to your contact list. You might also need to grant permission to them before they can add you to their contact lists. After permission is granted, your status displays for them and you can chat with each other.

Choose who can see when you are online

Individuals on this privacy list can see your status, or are excluded from seeing your status, when you are online. If you set this privacy list so that someone cannot see you when you are online, you do not see them when they are online either.

About this task

Note: Privacy lists are available only to users of HCL Sametime® Connect Version 8.0 and later software.

Procedure

Open the Privacy dialog box.

If you are using:	Do this:
HCL Sametime® Connect	Click > Preferences. Then, click Privacy in the navigator.
HCL Notes®	Click > Preferences. Then, expand the Sametime section in the navigator and click Privacy.

Click the When I am online tab.
Do one of the following actions:
- Select ONLY those on this list can see me online.
- Select Everyone EXCEPT those on this list can see me online.
Begin typing the name of the person or group you want to add and then select the name from the list of matches that displays to add a name to this privacy list.
