Calendars and scheduling
The calendar and scheduling features allow users to check the free time of other users, schedule meetings with them, and reserve resources, such as conference rooms and equipment.
Setting up free time lookups for Microsoft 365
Domino's Exchange Connector task (ExConn) performs searches and returns results so that HCL Notes, Verse, iNotes, and Traveler users can do free time lookups on Microsoft 365 users.

- Configuring a network
  This section presents the planning concepts and setup procedures necessary for a successful HCL Domino® deployment over a network. It provides information on network protocols from a Domino perspective but does not attempt to provide general network information.

  Topics in this section describe how to set up users and servers.
  - Understanding the Server document
    The Server document is set up when you register a server. It contains many of the settings that define how your server operates.
  - Policies
    Use Domino® policy settings to control how users work with Notes®. A policy is a document that identifies a collection of individual policy settings. Policy settings documents define a set of defaults that apply to the users and groups to which the policy is assigned. You can change policy settings and they will be automatically applied to the assigned users and groups.
  - Defining default settings for Notes® user registration
    Before you register new Notes® users, you can specify default settings that apply to all users. Default settings simplify user registration and ensure user settings consistency. You can define many default settings, such as what mail server users have or what certifier ID to use for user registration. You can also specify a default workstation execution control list (ECL) to protect data from unauthorized workstation access.
  - Using groups
    Groups are lists of users, groups, and servers that have common traits. They are useful for mailing lists and access control lists. Using groups can simplify administration tasks.
  - Replicas
    You can make a database available to users in different locations, on different networks, or in different time zones, by creating replicas of the database.
  - Calendars and scheduling
    The calendar and scheduling features allow users to check the free time of other users, schedule meetings with them, and reserve resources, such as conference rooms and equipment.
    - Setting up scheduling
      How you set up scheduling depends on where users are located -- that is, in the same Domino® domain or in different Domino domains.
    - Setting up the Resource Reservations database
      The Resource Reservations database is where users schedule and manage meeting resources. Resources may include conference rooms and equipment, such as overhead projectors and video machines. Users can select a particular resource and reserve a time for it, or they can choose a time and let the Resource Reservations database display resources available during that time.
    - Editing and deleting Resource documents
      After you create a Resource document, the information that you can change includes the Availability Settings, Description, Capacity, Online resource data, Other Comments, and Ownership Options fields. To change any other information about the resource, you must delete the Resource document and then create a new one containing the new information.
    - Setting user access rights to edit and delete reservations
      Reservations that are created manually or with Calendaring and Scheduling can be edited by Notes® client users or Web browser users who have the necessary access in the database ACL of the Resource Reservations database.
    - Managing automatic notices to owners of rooms or resources
      The owner of a room/resource document receives a variety of notices by default, some of them repeated many times until action is taken. As the Domino® administrator, you can help control the number of additional notices (the first such notice is always sent) in the Owner options section of the Resource document.
    - Creating Holiday documents
      Holiday documents provide a way for your organization to have a centrally managed collection of documents that contain information on scheduled holidays and events. Users select the type of Holiday documents to import and add the information to their personal calendars.
    - Setting up free time lookups for Microsoft 365
      Domino's Exchange Connector task (ExConn) performs searches and returns results so that HCL Notes, Verse, iNotes, and Traveler users can do free time lookups on Microsoft 365 users.
      - Setting up the Domino credential and certificate stores
        The Domino server that runs the Exchange Connector (ExConn) task must contain a credential store, as well as a certificate store configured properly for free time lookups in Microsoft 365.
      - Adding an application in Microsoft Azure AD
        In order for your calendar users to perform free time lookups for people who use Microsoft 365, you must register an application in the Azure portal. The application's identity and credentials are used by Domino's Exchange Busytime Connector to perform searches using the Graph API.
      - Configuring the Exchange Busytime Connector
        The final task in setting up free time lookups for Microsoft 365 is to configure Domino's Exchange Busytime Connector (ExConn) server task with credentials from Microsoft 365.
    - Collecting detailed information from user calendars
      You can make detail information from users' calendars available to other users. When you set up this feature, you specify which calendar details are made available for viewing by other users.
    - Improving interoperability for users of calendars in email applications other than Notes®
      Starting with HCL Notes/Domino 10.0.1, meetings scheduled between HCL Notes® and Microsoft™ Outlook have built-in preservation compatibility, so that you would need to configure compatibility mode only if your Outlook users require the more complicated repeating meeting actions available in Notes described later in this topic. For those you can use the existing settings on the Client Detection tab in a Mail Settings policy, as well as to configure calendar interoperability for other non-Notes applications.
    - Importing and exporting calendars from iCalendar
      You can import and export iCalendar-based calendars to and from Notes®. iCalendar is an Internet standard that allows calendars created in different calendar products to be imported into, and then viewed and managed in other calendar products that use the iCalendar standard. The iCalendar standard also allows for the sending and receiving of meeting requests and other tasks over email.
    - Designating the Out of Office service type
      Specify an Out of Office service type according to whether a server cluster is comprised of Domino® 8 servers, pre-Domino 8 servers, or a combination of both. There are two Out of Office service types, Service and Agent. Use the Out of Office Service for clusters comprised of Domino 8 servers; use the Out of Office Agent for clusters that contain any pre-Domino 8 servers.
  - Editing the notes.ini file
    The Domino and Notes notes.ini files contain the settings required for the server and client to operate correctly. If you modify or add settings in a notes.ini file, do so cautiously and never edit the file directly with a text editor.
  - Configuring directory services
    This section describes how to plan, set up, and use HCL Domino® directory services.
  - Configuring messaging
    This section provides an overview of messaging and describes how to set up mail routing, how to set up and customize mail servers, and how to track mail.
  - Configuring iNotes®
    HCL iNotes® provides HCL Notes® users with browser-based access to Notes mail and to Notes calendar and scheduling features. Administrators specify mail policy and security policy settings as well as notes.ini file settings to complete the full implementation of HCL iNotes.
  - Configuring Web servers
    This section describes how to set up the HCL Domino® Web server, and the Domino Web Navigator.
  - Setting up a cluster
    Setting up a cluster includes the tasks of creating and verifying that it is working correctly, and then setting up user access, mail, replications, size quotas, directory assistance, roaming, web navigation, and use of a private LAN in the cluster.
  - Configuring Widgets and Live Text
    Widgets and Live Text enables end users to see and act on Live Text in supported documents, including HCL Notes® mail, using XML extensions (widgets) created specifically for their use.

    Notes® client and Web users can use Domain Search to search an entire Domino® domain for database documents, files, and attachments that match a search query.

Setting up free time lookups for Microsoft 365

Domino's Exchange Connector task (ExConn) performs searches and returns results so that HCL Notes, Verse, iNotes, and Traveler users can do free time lookups on Microsoft 365 users.

Important: To use this feature, at least one Domino server must be running ExConn and be at version 12.0.2. To simplify deployment, you can configure other Domino servers (version 11.0.1 and later) to route their searches to a server running ExConn by setting the following NOTES.INI on each of those servers:

BT_LWP_SERVER INI=hierarchical name of the Domino server running ExConn

About this task

ExConn uses the Domino credential store to securely store the credentials needed to make Graph API requests to Microsoft 365. Your credential store must be located on a Domino server where ExConn is run.

You might also need to create a certificate store on the server running ExConn and/or update your certificate store with information necessary for establishing an TLS connection to Microsoft 365.

Finally, you must perform some one-time setup in Microsoft 365.
