Working with group calendars

To view or work with group calendars, from your calendar, use the Group Calendar view in the navigator.

About this task

If you are unable to view a group member's calendar, ask the person to add your name to the list of people who can view their calendar in their delegation preferences.

Task Steps
Create a group calendar to see, in one place, the busy and free time of all people in a group.
  • From your calendar, click the Group Calendar view in the navigator.
  • Click New.
  • Type a group name.
  • In the Members area, type the names of people or groups in the Members area. To select names from a contact list, click Members.
  • For The First Time, choose how you want to display information the first time you open this group calendar: Collapse All for viewing busy time only for all members of the group, or Expand All for viewing calendar details for all members of the group.
  • Click Save and Close, or click Save to save your work but continue making choices.
  • (Optional) Set a delegation schedule preference to restrict access to your schedule, so that only those people in your access list can see your work hours.
Change how you view the group calendar From an open group calendar, click View, and then select a view from the group calendar navigation pane.
View a group member's calendar Click the plus (+) or minus (-) next to a member's name to expand or collapse their calendar.
Add or remove the name of a group member
  1. Double-click the group name, and then click Add/Remove.
  2. Click Members.
  3. To add a name, select a name and then click Add. To remove names select one or more names, and then click Remove or Remove All.
