Generating column totals, averages, and percents

To display totals, averages, or percents for a column's numeric values, click the Sorting tab of the Column Properties box and select a Totals type other than None. Totals display in blue, unless you change the Column Totals color on the Style tab of the View Properties box.

Totals calculate only for main documents; response documents are not included. Because column totals recalculate each time you open the view, they may affect database and overall server performance.

Total calculates a grand total for all main documents and displays this total at the end.

Average per document calculates an overall average by totaling the values of the main documents and then dividing that value by the number of main documents. For example, if there are four documents and their total is 10, the average per document is 2.5.

Average per subcategory calculates an average for each category. Within each subcategory, the documents are summed; that value is divided by the number of documents. To explain the difference between average per subcategory and average per document, consider the first row of the following table, which represents a view.

The average per document is the total of all the documents, 9 - divided by the number of documents, 3. Result: 3. The average per subcategory is the total in all the documents, divided by the number of subcategories, 2, so the result is 4.5. An average subcategory has a total of 4.5. In the totals row at the end, the "subcategory" refers to the number of top-level categories. There's just one, so the average per subcategory is the sum of the documents divided by 1.

Average per subcategory can be useful in an example like this one: suppose your documents contained reports of tax revenue categorized by state and county, and they come from a variety of types of taxes. The per-document average is meaningless, if you are averaging a county's sales tax with another county's dog licensing tax - numbers which are not really comparable. But, average per subcategory might be meaningful to see the average total collections per county for counties in a particular state.

Percent of parent category calculates a total for all main documents. For each category, Notes® displays the category's percentage as it relates to the overall view total.

To display totals without the clutter of extra numbers, select "Hide detail rows" to suppress numbers other than totals or subtotals for each category and subcategory.
