Designating the Out of Office service type

Specify an Out of Office service type according to whether a server cluster is comprised of Domino® 8 servers, pre-Domino 8 servers, or a combination of both. There are two Out of Office service types, Service and Agent. Use the Out of Office Service for clusters comprised of Domino® 8 servers; use the Out of Office Agent for clusters that contain any pre-Domino 8 servers.

About this task

A mixed cluster of Domino® 8 servers and pre-Domino 8 servers requires an Out of Office service type of Agent. Use the field Out of Office service type in the Server Configuration document to control whether users utilize the Out of Office agent or service. By default, the Out of Office service type is Agent.

Note: The Files tab in the Domino® Administrator client contains an Out of Office column that you can use to view out of office status, that is, who is using the out of office service and is currently out of the office. the Out of Office column contains a Yes for those users.

The Out of Office service processing occurs after the server mail rules and user mail rules are applied, after the before mail delivery agent processing completes, but prior to the after mail delivery agent processing. This allows the user to preprocess mail using rules or using the before delivery mail agent. A user can pre-process mail in order to control spam or to forward messages.

The Out of Office service becomes active when the user enables it. The service disables itself after processing the first email when the user's designated Out of Office time has expired or, during routine router maintenance if the user receives no emails after the Out of Office time period has expired. The Out of Office service runs as part of the mail router; therefore, Out of Office responses are instantaneous, server failover is supported, and delegation of Out of Office functionality is supported and fully integrated with Calendar management. The delegate must have a minimum of Editor access in the ACL. Use the server command Tell router O to display a list of all databases that have an active out of office service.

The Out of Office agent processing occurs after the server mail rules and user mail rules are applied but after the before mail delivery agent processing completes. By default, the agent executes four times each day on a schedule. The user can preprocess mail using rules or using the before delivery mail agent in order to control spam.

The Out of Office agent becomes active when the user enables it. The agent must be manually disabled when the Out of Office time period expires. The Out of Office agent supports delegation of Out of Office functionality but it is not integrated with Calendar management. The delegate must have a minimum of Editor access in the ACL and rights to sign agents that run on behalf of others in the Server document. The minimum setting for Out of office agent is one day.

Procedure

  1. From the Domino® Administrator, click the Configuration tab.
  2. Click Server > Configurations.
  3. Select the Server Configuration document you want to modify, and then click Edit Document.
  4. Click Router/SMTP > Advanced > Control.
  5. In the Miscellaneous section, locate the field, Out of Office service type.
  6. Choose one of these:
    • Service -- Choose the Out of Office service for users whose mail files reside in an all-Domino 8 mail cluster supporting the Notes® 8 mail template (MAIL8.NTF). The Out of Office service supports Out of Office time periods of less than one day, but greater than one hour. The Out of Office service is automatically disabled when the Out of Office time period expires.
    • Agent -- Choose the Out of Office agent for users whose mail files reside on a cluster that has at least one pre-Domino 8 server. The minimum setting for Out of office agent is one day. The agent must be manually disabled when the Out of Office time period expires.
  7. Click Save and Close.
