Data retention and automatic removal of inactive recipient lists

Data retention practices observed in HCL Unica automatically remove an uploaded recipient list from HCL Unica when the list is inactive for more than 30 days. Removing the recipient list removes all personal data and metadata that is associated with individuals on the list.

When the list becomes inactive and is deleted, the system dims the list name on the Mailing tab and changes the status of the recipient list to Expired. If you run a messaging campaign that references an expired recipient list, the messaging campaign fails. The system returns an error to indicate that the recipient list was deleted as part of scheduled purging.

A recipient list is considered inactive if the following conditions are true.

  • The list was not updated in the previous 30 days
  • There were no production messaging runs that reference the list in the previous 30 days
  • The list is referenced only by an active mailing that is enabled for transactional message. (Transactional mailings do not use the recipient list.)

Removing the list deletes the output list table (OLT) that defines the list, including all recipient data and metadata that is contained in the table. When Deliver deletes inactive lists that are linked to dimension tables used with advanced email scripts, it also deletes the dimension tables.

Deliver does not automatically delete a recipient list if the list is referenced by a scheduled mailing. Deliver permanently exempts a recipient list from scheduled purging if the list was ever locked as part of a scheduled messaging run. Even after the scheduled run, the system does not delete the list automatically.

If you want to re-create a recipient list that Deliver deleted, you must run the flowchart that is used to create the list. Running the flowchart rebuilds the list and uploads it to Deliver system.
