Access and create media | HCL Digital Asset Management

This section provides the steps on how to access HCL Digital Asset Management and use it as a central platform to store and include rich media assets. Using the HCL Digital Experience 9.5 Digital Asset Management features, users can upload, browse, and search for media files, edit images and metadata, and manage collections and media access, as shown in the examples in this topic page.

Prerequisite

HCL Digital Asset Management should be installed and configured to HCL Digital Experience 9.5 Container Release Update CF_181 and higher. See the Install the HCL Digital Experience 9.5 Container components topic for instructions.

Access HCL Digital Asset Management

Follow these steps to access HCL Digital Experience 9.5 Digital Asset Management from the Practitioner Studio.
  1. From your HCL Digital Experience 9.5 Practitioner Studio interface, select Digital Assets from the navigator.

    The HCL Digital Experience 9.5 Digital Asset Management can also be accessed from the Practitioner Studio Digital Assets tile.

  2. The HCL Digital Experience 9.5 Digital Asset Management menu is now shown. The HCL Digital Asset Management features are displayed on the top bar of the page.

Upload media with HCL Digital Asset Management

Follow these steps to browse for or upload media assets using HCL Digital Experience 9.5 Digital Asset Management.
  1. From the HCL Digital Experience 9.5 Digital Asset Management interface, click the Upload Media tab. This allows you to view and search for digital assets, such as images and videos stored in the HCL Digital Asset Management Solution.

  2. Click Upload Media to upload a media asset from your source repository to HCL Digital Asset Management. You can add media to a Collection folder to store the media asset.

  3. Enter the Collection Name and the Collection Description as applicable.
  4. Select the Access icon to assign levels for other users to access media items stored within the Collection. The Add Users and Add Manager options permit addition of these user access levels for individuals and groups defined to the user directory integrated to your Digital Experience platform.
  5. Click Upload Media to upload a media asset from your source repository to HCL Digital Asset Management.

    The HCL Digital Asset Management interface shows an upload progress bar. When completed, it shows a success message as in this example:

  6. Click View Details to see information about the media asset uploaded, such as file size and type.
  7. Hover over a media asset to access Edit options. Select the Edit (pencil) icon.

  8. From the edit asset page, several options are available to manage display of the image.

    Edit options:
    • Crop, Rotate Left, Right
    • Replace
    • Copy URL link to Media item
    • Delete
    • Add to Favorites (selection is available from the star located next to the image title, and from the image edit (pencil) selections.

    Renditions of the assets are generated for Desktop, Tablet, and Smartphone display. Asset creators can apply the asset edit options and select and apply the results to a specific rendition type to optimize that rendition display.

    Versions will present multiple versions of the asset that have been saved, and Information will display information about the asset such as File type, size, rendition name (selected for this version), last modified author and date and time.

    Select edit options from the Information (icon option) will present asset name, title, type, size, description and options to Preview the display of the asset.

    Insights will display the Collection folder location(s) where this image is placed, and the last associated modification dates.

Working with Collections

Follow these steps to work with Collections in HCL Digital Experience 9.5 Digital Asset Management.
  1. From the HCL Digital Experience 9.5 Digital Asset Management interface, click the Collections tab. This allows you to view sets of media assets defined to a specified Collection and presents you with the option to create a new Collection.

    The List and Grid view icons can be selected to change the view of the media displayed.

    The Filter option can be selected to filter media results by Media or File type.

  2. In the Search field, you can select to search media by File Name, Title, Description, or Keywords. You can opt to search All and enter a search term in the search box.

Access Digital Asset Management media items from the Content Composer

Content authors can access Digital Asset Management media items when creating content in Content Composer, or Web Content Manager, working with content templates that include image elements.

Follow these steps in this example to HCL Digital Experience 9.5 Digital Asset Management media items when creating web content in Content Composer.
  1. From your HCL Digital Experience 9.5 Practitioner Studio interface, select Web Content then Content Composer from the navigator.

  2. Select a content template with the Image element configured to it, Furniture Gallery, in this example.

    Options are presented in the template Image element to drag and drop an image to the page or access Digital Asset Management (DAM) media items.

  3. Select the Digital Asset Management source then view the Collections you have access to. from the available Collection media items, select the item to add to your content page.

  4. Complete the remaining elements in the Content item template as required and click Save. Select a Location of your Digital Experience site to present the content item, including the media asset from your Digital Asset Management repository.
